CoSIDA Board Minutes

May 5, 2005 (Full Board)

REPORTS:
1. Commons, president
·        Academic HOF update – Four candidates have been identified and Dick Enberg is in the process of contacting them to make sure they can attend…Dave Wohlhueter will coordinate room reservations for each inductee…need to begin planning sessions and let hotel know what space requirements will be needed…preliminary idea is two rooms, one for the reception, one for the induction program…the event will include hosted hors d’oeuvres with a cash bar (no dinner) at the reception…a conference call of the planning committee will take place next week…discussed two candidates selected last year who have not been able to attend…agreement we can’t draw out their induction if they are that worthy and we probably need to do something when and where they can be available, perhaps during a return to their respective campuses…president will address this issue with the HOF committee
·        Dick Enberg Award winner has been chosen, with two additional candidates identified in case the winner cannot attend the ceremony.

2. Joe Hernandez, First VP
·        Joe unable to participate, but sent out a workshop schedule…Dave Wohlhueter would like to know who is coordinating Job Seekers, since the hotel needs to know the setup in the Exhibitor’s Hall area…Board agreed a panel room for 500 members would be large enough for the bigger panels;
·        Brief discussion on Statcrew and how in the future we might incorporate them into a session without offending other software providers…one suggestion was to invite all software providers exhibiting at the workshop to participate at one time in different rooms, allowing membership to attend the session most valuable to them.
·        Collegiate Image is participating on a panel about photography and it was stressed this cannot turn into a commercial endorsement for CI, since they too have competitors many schools work with
·        No progress has been made on developing the on-line nomination and voting procedure, pending information needed from the AAA committee
·        Included in the Philadelphia Board agenda should be a session with Wayne Block on rotating committee chairs every five years, as per guidelines…John Arenberg will discuss this in advance with Wayne Block

3. Doug Dull, Second VP
·        Doug’s brief report was read to the Board…discussed the Fiesta Bowl commitment…Charles Bloom will contact Shawn Schoeffler about their continued sponsorship (for several years the co-sponsor of the picnic) and also explore the Bowl Association if the Fiesta Bowl cannot continue at their current level

4. Charles Bloom, Third VP
·        Notification letters have been mailed to all 2004-05 award winners…individual stories will be in the Workshop edition of the Digest…the next Digest will have a story combining all award winners.

5. Ed Carpenter, Marketing Dir
·        Not able to participate, but submitted a preliminary report on major sponsors…so far Ed has not received confirmation from Marriott, National Football Foundation, CSTV and Fiesta Bowl.

6. Dave Wohlheuter, Treasurer
·        Pre-registration numbers total 92, with many of them from younger, less familiar names, and from many who are not in the Eastern area…Dave believes this is encouraging…breakdown includes 75 members, 13 spouse/friends and 4 children…too many of the early registrations are not checking and paying for dues, just the registration fees.
·        Dave pointed out that almost every hotel there is no discount for children’s meals…if they sit at the table with parents, they pay full amount…that is why there has not been a reduced meal rate for children…discussed how to spread the work to members attending each year with families.

7. Jeff Hodges, Secretary/Digest Editor
·        Labels for Spring AAA selection process have been mailed to coordinators…he has included the award winner summary story in the next Digest, along with the proposed constitution changes (adding Lester Jordan Award and Dick Enberg Award to list of CoSIDA Awards; change duties of immediate past president and second past president)

8. Past President Reports
·        Maxey will talk with ICS, along with Pete Moore, to determine if we can monitor the increase in page hits after an e-mail blast is sent out.

Old Business -
·        John Arenberg is working on an academic story and is looking for information on Lester Jordan, founder of the CoSIDA AAA program…several suggestions offered.

New Business
·        None
