Good day everyone, and best wishes to all of you as we enter another academic year. The CoSIDA leadership group, like many of the over 600 folks who attended the San Francisco convention in early July, came away from that annual event recharged and as a result, a good amount of things took place during this past month. We encourage you to take the time to read this monthly membership letter from the CoSIDA Board and its divisional leadership groups so that you are fully aware of matters that have, and will, take place.


Membership Renewal Time …


For all CoSIDA colleagues and those who are interested in joining CoSIDA:
At the July annual Convention, the CoSIDA Board of Directors voted to put a new membership payment and directory update process into place for 2010-11. For those of you who already have renewed membership, thank you. 
 
For those who have yet to renew membership or pay for a membership, we have established a cutoff date – a NEW procedure – for 2010-11 membership dues to be paid without penalty. That date is September 15, 2010.  And, along with paying your membership dues, each CoSIDA member and new member will be asked to go online and update his/her respective individual directory information and school/conference/affiliation page of information as well.
 
All 2010-11 membership dues are payable by Wednesday, Sept. 15, 2010, for those who currently fit the categories below. If your 2010-11 dues are not paid by Sept. 15, a late fee of $30.00 will be accessed.
 
EXCEPTIONS TO THIS LATE FEE: Any first-time CoSIDA member, and any professional who is in transition or changing jobs after Sept. 15, will pay only the regular membership fees listed below ($25.00, $75.00 or $80.00). The late fee will be assessed to only those currently in positions as of Sept. 15.
 
The reasons for this new membership payment policy and directory initiative are two-fold:

First, the CoSIDA leadership is aiming to make our online information as relevant and updated as possible. Frankly, our online directory is not accurate, and without accuracy, the directory does not serve as a viable information tool and is not a positive reflection of our organization. Accuracy and relevancy (with correct names, positions, email and website addresses, mailing info, etc.) will assist CoSIDA – and those using the directory – greatly as we move ahead with numerous membership initiatives.
 
Second, with 2010-11 dues paid by September 15, this will tremendously lessen confusion around the Academic All-America nomination and voting period which begins on October 1. Per CoSIDA policy, only active 2010-11 members can nominate deserving student-athletes for Academic All-America honors, and only active members can vote for Academic All-District Teams. CoSIDA is seeking to avoid last-minutes mistakes and errors around the Academic All-America nomination and voting periods by ensuring that memberships are activated in advance.
 
Membership Categories
Active ($75) – those who work at a college/university/conference media relations office or affiliated office
Associate ($80)- those who are employed at an organization which works in – or with – intercollegiate athletics – but is not working directly on a campus or in a conference office
Student ($25) – graduate assistants, graduate students/interns, undergraduate students/interns

When you log into your CoSIDA account, you will be prompted to update your directory information by a new screen. Please take the time to make sure your info – especially your full school name as you wish for it to appear on any awards/Academic All-America honors and certificates, and your MAILING address (not P.O. Boxes) - is updated. Again, we ask that you please update your directory information and pay your 2010-11 dues by Wednesday, Sept. 15 to ensure that:
 
(1) your information is properly listed in the PDF directory posted on the website and our directory is a relevant resource
(2) you pay only the regular dues rates and are not charged a late fee (effective AFTER Sept. 15, 2010, unless you are hired at a new position after that point in time)
(3) you are among the active members who can nominate and vote for deserving student-athletes - for ESPN Academic All-America honors. That voting process begins in early October, and ONLY current (dues-paying 2010-11 members) may nominate and vote.

...and Directory Update Time!


As mentioned above, it’s also time to make your updates for the 2010-11 CoSIDA Directory. This directory is one of the most useful resources, not only for our membership, but within all of intercollegiate athletics. Its’ accuracy is fully dependent on our membership and allied organizations verifying and/or updating contract information and making staff additions and deletions. Please take a few moments and have one person from your department go into the appropriate CoSIDA online system and update all directory items for your school or allied organization.Please complete this process no later than WEDNESDAY, SEPTEMBER 15. To get “CUSTODIAL STATUS” for your school/staff directory account: If you wish to assign a person in your office to be the “point person” for directory information/changes, please go to CoSIDA.com and click on “Update Your Directory Information” under the Membership link (http://cosida.com/update/index.aspx) and appoint an individual to have “custodial status” of your school account in order to add/delete/change school and staff information and pay membership dues for the entire staff.
 

Board of Directors- Organizational Matters


During Board meetings in San Francisco during the Convention, a reorganization of the officer rotation duties was implemented which the Board believes results in the officers being placed in more prominent leadership roles on behalf of the organization and profession instead of primarily being defined by convention planning based duties as has been the case. The reorganization was also done to better spread out duties and responsibilities throughout the entire officer rotation and better make use of the three Past Presidents in that group as it relates to focusing on assigned projects and issues. Here are the officers’ primary organizational and management responsibilities for the upcoming year:

3rd VP Shelly Poe (Ohio State)- Coordinates continuing education programs throughout the year in terms of teleconferences and webinars. Provides input in that regard for the convention.

2nd VP Joe Hornstein (Central Florida)
- Coordinates programming for the annual convention in Marco Island.

1st VP Tom DiCamillo (Pacific West Conference)-
Coordinates an initiative to increase the role and involvement of two-year institutions within the organization. Works with the national leadership within the two-year community to try and develop a national SIDA organization for that group and grow CoSIDA membership within that divisional group. Provides input with regard to programming for Marco Island convention and coordinates social programming aspects of the convention.

President Larry Dougherty (Temple)-
In additional to presidential duties, Larry will coordinate a review and discussion as it relates to perhaps having CoSIDA develop an accreditation based program in the future that would enable our members to use continuing education teleconference/webinar sessions over the course of the year and programming at the annual CoSIDA convention to be used for continuing education credit at their respective school.

Past President Justin Doherty (Wisconsin)-
Coordinate an effort to increase the involvement of the DI community within CoSIDA as it relates to engagement with others in the organization, leadership roles and convention attendance.

Past President Nick Joos (Baylor)-
Coordinates some fiscal and financial based initiatives- developing a budget for 2010-11 organizational year, develop a budget for 2011 convention, and develop some new financial based reports to assist the Board in helping them better understand this aspect of the organization. Nick will also Chair SACC (Senior Athletic Communicators Council) and be responsible for developing membership conference calls for that group this upcoming year to discuss appropriate subjects.

Past President Charles Bloom (Southeastern Conference)-
 Oversight responsibility for Special Awards presented at the 2011 convention and oversight of the Nominating Committee. He will also continue to serve as Chair of the University Division Management Advisory Committee and work with John Humenik to implement a first-ever full management structure for Division I within CoSIDA which will see the creation of three specific SIDA organizations for that division; FBS-SIDA, FCS-SIDA, D1-AAA SIDA. Each of these three management divisions will be composed of one representative from each of the conferences that makeup that group and it will have a President who will work with Humenik, Bloom and the CoSIDA Board leadership to build relationships and be pro-active with AD and Conference Commissioner groups within those respective divisions as was the case with DII and DIII-SIDA this past year.

Committee Based


Committee chairs have been appointed for the 2010-11 year and a CoSIDA Board member has been assigned to each chair to work with them throughout the course of the year. All committee chairs have been asked to provide to the Board by August 10th a specific set of goals and objectives that they will seek to carry out this year that will support the organization’s strategic initiatives.

Academic All-America


The leadership of the Academic All-America Committee as well as DII-SIDA, DIII-SIDA and NAIA-SIDA have jointly started to discuss several matters regarding the implementation and administration of the proposed expansion of the Academic All-America program that is scheduled to begin with the start of the 2011-12 academic year.
 
On behalf of CoSIDA, Collegiate Images- CoSIDA’s official legal-based services provider for the Academic All-America program- issued cease and desist letters to both USA Gymnastics and the American Collegiate Rowing Association regarding their infringement on CoSIDA’s “Academic All-America”  registered mark.
 
The Board and the leadership of the Academic All-America Committee want to remind all of its members that CoSIDA’s “Academic All-America” mark is federally registered. As such, all CoSIDA members must help the Board and AAA Committee monitor the wrongful use of this registered mark. If you see any other organizations, including coaches associations, using this registered mark, please contact AAA Chair Dick Lipe (rlipe@bentley.edu) and CoSIDA Executive Director John Humenik (jhumenik@bellsouth.net) immediately. We will then have our legal counsel, Collegiate Images, follow-up with a letter regarding inappropriate infringement of our federally registered mark and they will be asked to “cease and desist” from future use of that mark. We also ask that information and communications directors be careful in their use of the “Academic All-America” mark. Many times over the course of the year we find that our own membership is using “Academic All-America” in releases that they prepare with regard to student-athletes receiving awards for academic achievement from other organizations when in fact those organizations refer to their awards as “All-Academic”, “Scholar- Athlete”, “Academic All-Star”, etc.  We ask that our own membership be cognizant of ONLY using “Academic All-America” in relation to CoSIDA’s program. It should not be used with any other program. There are no exceptions.
 
 
National Organization Initiatives


NAIA
Chad Waller, Director of Sports Information and Media Services at the NAIA national office - and NAIA-SIDA officers President Sam Ghrist (Eastern Oregon), VP Jay Stancil (Union) and VP Michael MacEacheran (Savannah College of Arts and Design) - put a plan into place on July 12th as to how: 1) increase  and grow CoSIDA membership  and 2) educate NAIA SID membership and the NAIA community on the expansion/changes to the Academic All-America teams and the NAIA split from Division II & Division III.  This plan laid out a series of letters to be specifically sent to NAIA Athletics Directors, Sports Information Directors, Faculty Athletics Representatives and Conference Commissioners about CoSIDA’s expansion of the AAA program and what that means for the NAIA- significantly improved opportunities for student-athletes in that division to earn the AAA honor and the need for the NAIA community to grow the number of NAIA schools that are members of CoSIDA.
 
      On July 21st John Humenik, President Larry Dougherty and Eric McDowell (Union College), Chair of CoSIDA’s College Division Management Advisory Committee, sent a joint letter to Jim Carr (NAIA President and CEO), John Leavens (Senior VP for Membership Services) and Staci Schottman ( Director of Public Relations and Communications) encouraging the NAIA senior staff in Kansas City to use the leadership of NAIA-SIDA as “resource and advisory group” relative to the NAIA branding initiative study that is currently taking place.
 
       It was emphasized to the NAIA senior staff that CoSIDA’s leadership made this same type of request last year to the DII and DIII NCAA senior leadership in Indianapolis with regard to their respective branding initiatives and that they did indeed determine it would be good to use DII-SIDA and DIII-SIDA in this role and that it proved to be a most successful joint partnership and relationship. On July 22nd NAIA-SIDA President Sam Ghrist and Ron Smith, Chair of the NAIA-SIDA Branding Committee, sent a joint letter to Jim Carr, John Leavens and Staci Schottman at the NAIA national office in Kansas City  regarding the NAIA Marketing/Branding Plan and the desire of NAIA-SIDA to lend its assistance to the success of this project.
 
       On July 23, Jim Carr responded to NAIA-SIDA and CoSIDA leadership outreach over the previous few days and said, “I sincerely appreciate the interest demonstrated by those involved in the sports information profession as a whole and those most closely tied to the NAIA.  My primary message back to you is that we welcome input from all of you as we evaluate the most effective and efficient ways to market the NAIA and our member institutions. More specifically, the NAIA management team fully supports a significant role for NAIA-SIDA leadership throughout this thoughtful and ongoing process … Your experience in the field will be a valuable resource as we move forward with our integrated marketing and communications plan Instead of going into greater detail in this email, I suggest a call during the week of August 2 with NAIA-SIDA leadership to discuss more specifically how we can move forward together and identify opportunities to involve members of this leadership group in our efforts.”
 
NCAA
John Humenik met with Erik Christianson, NCAA Director of Media and Public Relations, in San Francisco on July 8th and discussed several “planning based” matters for the upcoming year; CoSIDA Board and divisional presence at NCAA Convention in San Antonio in January, ideas for some type of session at that convention that would make “ importance of communications directors” a focus point, meeting in Indianapolis next spring with our Board and divisional leadership groups as we had this past April,  and his help in trying to help us increase DI interest and engagement not just within CoSIDA, but as a needed leadership group to deal with DI communications based issues and challenges.
 

Divisional Based Initiatives


Dan Dutcher, NCAA VP for DIII, met with the DIII-SIDA Board of Directors in San Francisco on July 6.
 
Mike Racy, NCAA VP for DII, met with the DII-SIDA Board of Directors in San Francisco on July 6th. That meeting also included Julie Ruppert, representing DII Conference Commissioners, and Eric Schoh, representing DII ADA group.
 
Bill Wagner (DePauw), President of DIII-SIDA, has worked with Dan Dutcher, the NCAA VP for DIII, to schedule a full DIII-SIDA membership conference call for Thursday, August 5th (2 pm ET) so that Dan can review the NCAA DIII branding identity initiatives with that entire group. Dan made this presentation at the convention in San Francisco on July 6th, but the conference call in August will update DIII members who were not able to attend.
 
Rich Herman (Clarion), President of DII-SIDA, is working with NCAA VP for Division II Mike Racy to schedule a full CoSIDA DII membership conference call for a yet to be determined date in August so that Mike can review the NCAA DII branding initiative and branding “tool kit” that was introduced at the San Francisco convention to DII membership on July 6th.   This call will update the DII membership who were not able to be present at the convention.

Mike Racy finalized plans for a meeting in Indianapolis on August 24th that includes Rich Herman, John Humenik, Bob Fortosis of DII Management Council and Fran Reidy of DII- Athletic Directors Association (ADA). A member of the DII Conference Commissioners group might also participate. The focus of the meeting would be DII communications-based initiatives for the 2010-11 year that all of these groups would jointly work together on.
 
NCAA News/NCAA.com feature- NCAA Publishing Managing Director David Pickle did a feature article on the San Francisco convention and DII-SIDA’s specific efforts to assist the DII national staff on branding and communications-based initiatives. The story appeared in the NCAA News on July 9, was posted on CoSIDA.com that day and NACDA included it in daily membership blast on July 12.   DII-SIDA President Rich Herman (Clarion) sent out the NACDA story link to all DII membership on July 13 so that they could not only see and read the story but also see how our partnership with NACDA leads to exposure on such stories throughout the entire collegiate community, not just with communications and information directors. On July 13, Greg Burke, the AD at Northwestern State in Louisiana and current President of the Football Championship Subdivision (FCS) Athletic Directors Association, emailed John Humenik about setting up a conference call to discuss some joint things relative to FCS-ADA and CoSIDA. Humenik worked with Scottie Rogers (Ivy League), who has recently been appointed as the Chair for 2010-11 for the newly formed FCS-SIDA organization, to arrange a joint conference call in that regard.On that call they discussed ideas to create an initiative to help recognize former FCS greats in conjunction with the 2010 FCS Championship Game in Frisco, Texas.  Scottie has reached out to the NCAA and The Sports Network to see how to could develop this concept as a joint initiative tying to the NCAA's branding efforts around the Division I Football Championship. Discussions are ongoing and in the early stage at this point.
 
On July 20, David Pickle, NCAA Publishing Managing Editor, emailed Rich Herman, President of DII-SIDA, and said, “Just wanted to let you know we just finished the Division II Management Council meetings, and the successes with D2-SIDA were enthusiastically received. One suggestion was for D2-SIDA to advise ADs as soon as possible about the opportunities to build on our momentum with attendance at the 2011 CoSIDA Convention. The sense is that Division II has some unique momentum with strategic communication, so we don’t want to miss the opportunity to make gains that will benefit everybody. You would have the success of the recent convention as fresh content for the reminder. The various administrators who were there were very enthusiastic about recent developments within CoSIDA and D2SIDA.
 
John Humenik and Charles Bloom, Chair of the University Division Management Advisory Committee, are in the final stages of implementing full formation of a specific SIDA management structure within Division I in an effort to help that membership group get more organized and effective in dealing with specific divisional based issues and challenges. This effort has come about in large manner due to such effective management structures within DII-SIDA, DIII-SIDA and NAIA-SIDA and the clear need for DI to now also develop some leadership structure of a similar nature. 
       The Division I structure, when fully implemented, will have three specific management groups- FBS-SIDA, FCS-SIDA and DI AAA-SIDA. The Board of each of each of the three SIDA groups will be composed of one rep from each of the conferences that makeup that subdivision with a Chair and Vice Chair. Bloom will chair the University Division Management Advisory Committee (UDMAC) which will coordinate any joint DI matters that involves all three groups. The UDMAC will be composed of the three Chairs and Vice Chairs from FBS-SIDA, FCS-SIDA and DI AAA-SIDA and might also include some DI reps from the CoSIDA Board.
 
DII-SIDA President Rich Herman is coordinating and effort within D-II SIDA, in conjunction with Roberta Page, Director of NCAA Championships, Jim Wright of the NCAA Stat Bureau, and Jeff Ligney representing the Conference SID’s, to streamline the NCAA Statistics reporting procedure and the on-line score reporting for nine designated sports into one reporting procedure. The current individual sport stats are reported through the conference offices to the NCAA, while SIDs or coaches must log on and report scores on the NCAA web site for nine sports. Football is one sport that is currently operating under the proposed streamlined procedure. D-II SIDA and the above formed stat group is working on a proposal to present to the D-II Conference Commissioners in October that will include all nine sports in this streamlined procedure. The sports involved include football, men’s and women’s volleyball, men’s and women’s soccer, men’s and women’s basketball, baseball, softball. The proposal will also seek to include additional sports as the software permits.
 
 

Marketing/ PR Based


The newly redesigned CoSIDA.com website project was launched in late June. The redesign project was coordinated by Director of External Affairs Barb Kowal with assistance from the CoSIDA Strategic Branding Committee and Board of Directors input. This redesign concept was developed by the staff SIDEARM Sports - a major CoSIDA corporate partner and the organization’s website administrator. The membership is asked to provide comments/ideas to Barb on this new design via email (barbkowal@cosida.com), and they will be considered as we use the month of August to further refine the site. We plan to have the new site fully updated and functional by late this month so that it is ready for the start of the new academic year.
       
Over the month of July, 32 CoSIDA-based stories appeared on NACDA’s Daily Review email blast (in a total of 21 daily email blasts for the month) and 11 on the NCAADaily E-mail Blast. Due to this effort, several thousands of university and athletics administrators are being exposed to professional and organizational news that primarily only appeared on the CoSIDA website in the past and was thus only viewed by our membership.
 
During the month of July,44 articles were posted on our organizational website (CoSIDA.com). In addition, the CoSIDA Twitter page (www.twitter.com/CoSIDAnews) had 211tweets/postings, all of an informative nature with breaking news and timely topics for athletic communication professionals.
 
Barb Kowal, working with Executive Director John Humenik and CoSIDA Board members, continued work on the first draft of a CoSIDA marketing/branding document. This initiative came about as a result of meetings CoSIDA leaders had with the NCAA Branding Department on April 15th in Indianapolis. The NCAA has done such documents for recent DII and DIII branding based initiatives and the NCAA and CoSIDA leadership jointly agreed that doing such a document was an important next step for CoSIDA as it seeks to further develop its strategic resource value and “brand” within the collegiate community - “CoSIDA- Strategic Communicators for College Athletics.” This project was one of the things reviewed and discussed during Board of Director meetings in San Francisco.

Joe Moore, a former SID at Central Missouri who is now a professor in the Communications Department at that school, came  to the San Francisco Convention and conducted a series of meetings with various CoSIDA  leadership groups from July 3-6th to gather information and input for his dissertation on “Earned Influence in Collegiate Sports PR: Why Some Have it, and Others Don’t.”   The Board feels that Joe’s research work, perhaps the most extensive ever conducted on this particular subject matter, can assist it in the future with regard to possible strategic initiatives.

CoSIDA Treasurer Dave Wohlhueter and Executive Director John Humenik have conducted meetings with the Marriott at Marco Island to renegotiate our contract that was originally signed in 2006. Progress was made in that regard during a conference call on July 23rd and as a result CoSIDA’s financial liability with regard to next June’s convention has been significantly reduced. We will still face a challenge meeting “guarantees’ but those guarantees were significantly reduced from levels that were just not reachable based on our convention turnouts the past two years in San Antonio and San Francisco. The dates for the CoSIDA Convention in Marco Island next June are 27-30, 2010.
 
On July 14, the Awards and Recognition Association announced that legendary Florida State coach Bobby Bowden and CoSIDA Executive Director John Humenik have been named to the selection committee for the annual Sportsmanship Award presented by that organization.
 
On July 28, CoSIDA announced a joint partnership with Eclaro Sports, a full executive search services company, to assist sports communications professionals in moving forward in their careers. Eclaro, the parent company of Eclaro Sports (www.eclarosports.com), has been a leader in executive search services for more than a decade, and has over 1.5 million resumes in its comprehensive database. Eclaro Sports, based in New York City, draws on the experience of its executive team as it handles executive search for colleges, working primarily with non-BCS schools. The plan, still in early development, is for Eclaro Sports to develop a centralized, confidential database of sports communications professionals, with the goal of having the database greatly assist athletic directors - and key hiring managers in the corporate world - find the right candidate for their communications leadership positions.
