2012 St. Louis CoSIDA Convention (June 23-26)

The Convention takes place Saturday-Tuesday, June 23-26 at the Renaissance Grand Hotel (800 Washington Avenue, St. Louis, Missouri 63101). The online registration and hotel reservation systems for the St. Louis Convention are found at CoSIDA's online "Convention Central" webpage: http://cosida.com/workshops/convention12.aspx

As you view the updated program and social events schedule, please note some minor changes and additions will take place during the month of May.

The webpage is your one-stop site for links about:
convention programming and social events for you and your colleagues, the hotel property, the city of St. Louis, how to register for the convention, how to reserve your hotel rooms, and the reasons why this convention is a "must-attend" event.

We encourage you to read the registration "Frequently Asked Questions" before you begin the registration process and carefully read the registration instructions. In addition, there is a PDF entitled “Why Attend the 2012 Convention” which highlights
all of the reasons why you should attend and provides information to others at your institution/conference who might need convincing about the benefits of attending.

Remember, convention programming and panel/session details will continue to be added and the schedule will be updated continuously.

• CoSIDA 2nd VP Shelley Poe (Auburn University) is coordinating the overall program for the St. Louis Convention. She is in the process of finalizing the first full draft of the potential program for review by members of the Program Committee and reps from the CoSIDA Board. Contact Poe at slp0019@auburn.edu.

HOTEL ROOM RATES: Reservation DEADLINE is THURSDAY, MAY 31.
Per night, the hotel room rate is $162.50 for single/double. If you require reservations for a triple (3 per room) or quad room (4 per room) they are at the following rates: triple $182.50; quads $202.50. As part of the CoSIDA Conve

PREREGISTRATION FEES: Reservation DEADLINE is FRIDAY, JUNE 1.
$280 for non-CoSIDA members, $195 for CoSIDA members and $195 for spouses, friends and children. Deadline for the pre-registration is June 1, 2012. Everyone who wishes to attend any of the events must be registered. These registration fees have held steady at the same price point for the last three years. May 1 Deadline for Committee Chairs: Committee chairs as well as divisional Presidents/Chairs of CoSIDA’s divisional leadership groups should contact Will Roleson (willroleson@cosida.com) no later than May 1 with dates/times and room setup needs for any meetings you wish to hold with your group in St. Louis. Committee chairs have received correspondence from Roleson with a checklist to assist you in choosing your committee meeting time.

• CoSIDA Award recipients

Tam Flarup (University of Wisconsin), Chair of the Special Awards Committee, and the Committee announced in late February the full slate of 2012 CoSIDA award winners.  Please see this link for the 2012 Special Awards general announcement and schedule of features for each individual award recipient.

• On April 25th it was announced Joe Paterno will be posthumously honored with the 2012 Enberg Award. The Enberg Award has been presented since 1997 “for leadership in promoting the joint values of education and athletics.” Paterno’s son, Jay, will accept this award from Dick Enberg at the June 25th Capital One Special Awards Gala in St. Louis.

• Convention Social Schedule

Saturday, June 23: A “Kickoff Welcome Reception” will take place in the Exhibitor Hall area (6 p.m.)

Sunday, June 24: ESPN’s annual reception will be held at 6 p.m.
     
Tuesday, June 26: We will close the annual convention with a Farewell Party at Busch Stadium beginning at 6:15 p.m., and that event includes a special presentation to the CoSIDA membership by Baseball Hall of Famer Ozzie Smith. • Special Award Recipients/Awards Luncheons & Capital One Special Awards Gala

Sunday, June 24: CoSIDA’s Kickoff Luncheon, and CoSIDA awards presented will be 25-Year, Rising Star, Trailblazer, Kenworthy and Keith Jackson honors.

Monday, June 25: CoSIDA Hall of Fame Luncheon where the Lifetime Achievement and Bill Esposito Awards will be presented along with the CoSIDA Hall of Fame inductions.

Monday, June 25: Later that evening, the Capital One Special Awards Gala, featuring the Academic All-America Hall of Fame induction ceremony, will be held. ESPN’s Rece Davis will once again serve as emcee and the legendary Dick Enberg, a long-time supporter of CoSIDA’s Academic All-America® program, will attend to personally present the 2012 Enberg Award. Prior to dinner,
CoSIDA’s Jake Wade, Warren Berg, Arch Ward and Lester Jordan awards will be presented. Following dinner, the Academic All-America® Hall of Fame induction ceremony takes place.


 

CoSIDA Resource Library Launching

The new CoSIDA.com online Resource Library will be launched on May 4. All members will be notified by email and CoSIDA's Twitter and Facebook accounts with more details on the Resource Library and when updates take place. The Resource Library concept was designed by Executive Director John Humenik and Director of External Affairs Barb Kowal. Working to develop the project over the last several months have been Kowal alongside the Membership Services Committee – chaired by Blake Timm (Pacific-Ore.) - with assistance from Director of Internal Operations Will Roleson.


National Organization Initiatives

NAIA

NAIA-SIDA President Jay Stancil (Union, KY) provides this recap from the annual NAIA Convention held in Newport Beach, Calif. on April 12-16:

•  For the second year in a row, NAIA-SIDA had the opportunity to host two panels at the NAIA Convention, which was held April 12-16 in Newport Beach, Calif., this year. Stancil and Chad Waller from the NAIA national office conducted the first presentation entitled: “How to Market Your University Using the Athletic Department.” Approximately 35 athletic directors and conference commissioners were in attendance for the hour-long session.
Topics discussed included:
-The Role of an Athletic Communications Director
- The Role Athletics Play for the University
- The Power of Social Media
- Other Communication Tools - brochures/media guides, alumni magazine, webcasts, etc.

•  Ron Smith of Westmont (Calif.), Cindy Fotti of Columbia (Mo.) and CoSIDA President Tom Di Camillo of Pac West Conference chaired the second panel entitled "How Strategic Communications can be used at NAIA Institutions".
Topics discussed included:
- The Value of a Strategic Communications Plan for Athletics
- Developing a Strategic Communications Plan for Athletics
- The Reality of Strategic Communications Planning in SID Offices of NAIA Institutions.

Di Camillo spoke on behalf of NAIA-SIDA and CoSIDA during the NAIA-Athletic Directors Association (NAIA-ADA) and the NAIA-Conference Commissioners Association (NAIA-CCA) business meetings. Both groups were very receptive, especially during the NAIA-CCA meeting where Di Camillo was asked several questions and invited to have a representative of CoSIDA attend a conference meeting.

One final highlight from the convention came out of the National Administrative Council (NAC) Awards and Statistics Committee meeting. The committee issued a statement that it will work with NAIA-SIDA to write a staffing expectation document to include a three-year plan to get a full-time SID on staff at every NAIA institution, and any future NAIA institutions must have a full-time SID. The committee expects to have something to present at the NACDA meetings in June.

NAIA-SIDA's Board had a conference call on April 19. They discussed and reviewed the NAIA convention and talked about a desire to work more closely NACMA college division board leadership. Board member Eric Smith (Taylor, Ind.) is finalizing details on the June 22 NAIA workshop at Harris-Stowe State in Missouri.

NCAA

CoSIDA’s NCAA Championships/Alliances Advisory Board met via teleconference on April 19 for its quarterly meeting. Topics discussed included multimedia availability for the Division II Spring Sports Festival, term limits for current Board members, generating story ideas for NCAA.com, and NCAA Championship programs, including digital-vs.-printed and opportunities for SIDs to proof copy. The group will meet next in-person at the CoSIDA Convention in St. Louis.

The NCAA has tentative plans to start a monthly Championships/Alliances newsletter for SIDs with such information as webcasts, selection shows, deadlines, etc. CoSIDA members of the Advisory Board are: Ann King (The Sage Colleges), Chad Jackson (Armstrong Atlantic), Dennis Jezek (Barry), Jim McGrath (Butler), Kennan Timm (UW-Oshkosh), Mark Adkins (Norwich), Mary Howard (Florida), Todd Lamb (Southland Conference), Tom McGuire (Bloomsburg) and Will Roleson (CoSIDA staff liaison). Mark Bedics is the NCAA's liaison, with other NCAA staff involved.


NACDA

Each month, dating back to 2009-10, CoSIDA’s leadership discusses our organization and profession via a “CoSIDA Corner” column that is published in NACDA’s Athletics Administration Magazine. There is no May edition of the magazine, and the next CoSIDA Corner will appear in the June issue.

The most recent column, appearing the April 2012 issue was written by Eric McDowell (Union College - N.Y.), CoSIDA 3rd Vice President and can be found HERE. The column, entitled "SAAC and the athletics communications professionals: A partnership of promotion," focuses on CoSIDA's work with national and on-campus Student-Athlete Advisory Committee (SAAC) initiatives.
     
The NACDA magazine, which is published in October, November, December, February, March, April, June and August, is sent to more than 10,000 university and athletics administrators. That, combined with the exposure that CoSIDA receives via NACDA’s daily email blast, provides CoSIDA incredible exposure, something that was not the case prior to CoSIDA’s partnership agreement with NACDA that was agreed to in Dec. of 2008.

A “transition team” is in place to deal with various management and organizational matters associated with CoSIDA Convention becoming part of the NACDA convention in June 2013 in Orlando. The organizational team includes Joe Hornstein (Florida International- CoSIDA 1st VP), Shelley Poe (Auburn- CoSIDA 2nd VP), Eric McDowell (Union College- N.Y., CoSIDA 3rd VP), Nick Joos (Baylor- CoSIDA Past President), Julie Work (NACDA Associate Director), Kevin Keys (Liberty), Anne Abicht (St. Cloud State), Ann King (The Sage Colleges) and CoSIDA staff members Barb Kowal, Will Roleson and John Humenik. Representing NACDA on the team are Senior Associate Executive Director Pat Manak and Assistant Executive Director Julie Work.

      That group continues to update and refine a CoSIDA/NACDA Convention “Frequently Asked Questions” document to address numerous questions associated with the 2013 convention, and the group continues to discuss other educational ways to update the membership on this new endeavor, including discussion at the St. Louis Convention.



Division-Specific Initiatives

Management Advisory Committees: College (CDMAC) and University Division (UDMAC)

• The College Division Management Advisory Committee (CDMAC), chaired by Blake Timm (Pacific- Ore), held a conference call on April 11th. At the CoSIDA Convention, they will present specific college division-level panels on strategic planning for SIDs and time management ideas. If there are individuals interested in helping present at either of these panels, please contact Timm via email (timmbr@pacific.edu). The group also discussed a proposal from the membership for a NCAA stats rule that would require official statisticians at neutral site contests (i.e., spring break tournaments for baseball and softball). The full group agreed that this is an issue that many SIDs deal with and should be discussed further. The CDMAC Board has thus asked DII-SIDA, DIII-SIDA and NAIA-SIDA to review the proposal and provide comments/ suggestions back to CDMAC. The Board also discussed potential nominees for potential CoSIDA Board openings.


On April 12, University Division Management Advisory Chair Charles Bloom (SEC) and Nick Joos (Baylor), a Past President on the CoSIDA Board of Directors, coordinated a continuing conference call for that dealt with “Social Media Promotion and Education.” See more information on this session, above, in the “Continuing Education Related” note. Nearly 250 CoSIDA members listed to the call which was presented by Heath Nielsen, Baylor University Assistant AD/Communications and Brad Sheffield, Baylor University Coordinator of New Media. Bloom also reported to the UDMAC Board on April 20th that the following CoSIDA 
Convention sessions are scheduled. On Saturday, June 23 (1st day of convention), the UDMAC will host a divisional session (2:30-4 p.m.) that includes presentations from the NCAA, Capital One (Academic All-America program), Stat Crew and CoSIDA staff on the NACDA relationship. Following these presentations, there will be a 30-40 minute open forum on topics of the day. Bloom asked all of the Board conference reps to contact their conference colleagues to see what these issues are so that they can be put on an agenda for the this forum.
       Following this meeting, from 4-5 p.m that same day, the UDMAC holds a session on “Integrated Communications” involving a presentation on the relationship between media relations/communications with other external offices in the athletic department and on campus units (i.e., marketing, tickets, fund-raising, campus PR, etc.). On Tuesday, June 26 at 8 a.m., the UDMAC will host a session on running student-athlete awards programs/events on campus, many of which are becoming fairly elaborate in nature.

NCAA Division III

DIII-SIDA President Larry Happel (Central College- Iowa) reports that D3SIDA partnered with NCAA Division III leaders, including consultant Jack Copeland, in celebrating the inaugural Division III Week on campuses nationwide April 9-15. Division III SIDs earlier received a promotional kit from the NCAA. D3SIDA and the NCAA also partnered in sponsoring a new quarterly recognition program which honors the best work of campus and conference sports information offices in promoting Division III. The first honoree was the Albion College (Mich.) News and Sports Information Office for a feature story it produced. Division III is the NCAA’s largest division, with 172,000 student-athletes representing 442 colleges and universities and 43 conferences.

NCAA Division I

Football Championship Subdivision Management Advisory Committee Chair Scottie Rodgers (Ivy League) coordinated an April 23 conference call with Marilyn McNeil,President of the FCS ADA, and the leadership of CoSIDA’s FCS MAC Board to discuss ways that the two leadership groups can best work together. Topics discussed: FCS branding matters, with the FCS ADA group working more closely with FCS MAC in this and other regards to advance the FCS; and the FCS ADA sharing with FCS MAC any updates on a branding/marketing survey that will be reviewed and discussed this June/July. The Board also discussed setting up regular monthly calls for the FCS MAC moving forward and disucssed upcoming FCS MAC meetings at the CoSIDA Convention.

• On April 26, Tom Eiser (Xavier), Chair of the I-AAA UDMAC, coordinated a conference call of that divisional Board. They discussed the importance of UDMAC I-AAA’s leadership group having direct involvement in convention programming via Charles Bloom; determined which members of this leadership group would be coming to St. Louis and encouraging them to speak with their respective conference members about the need to come to the convention for a variety of reasons; and discussed ideas on how to help SID's at this divisional level convince their respective AD's about the need for them/staff to attend the St. Louis CoSIDA Convention and future conventions when they become a part of the NACDA Convention in 2013.
          The group also closely reviewed the CoSIDA/NACDA FAQ document which had been provided for review. Board member Pat Pierson (Florida Gulf Coast) was asked to lead an effort to identify possible joint initiatives of the I-AAA ADA group and CoSIDA's l-AAA MAC to see how this CoSIDA' divisional leadershp Board can work build a better working relationship for the betterment of both groups. Pierson's AD, Ken Kavanagh, is the chair of the I-AAA ADA group and is a big supporter of the role of the communications professionals. Pierson was asked by Eiser help coordinate a conference call with 1-AAA MAC Board and Kavanagh in May.
           Board member Oliver Pierce (Gonzanga) will draft a document to share with the NCAA to address three topics of concern: (a) new NCAA Tournament policy about taking the losers first in the media room; (b) policy of not allowing coaches and players selected for NCAA Tournament post-game press conferences to talk to the media in the down time before getting to the podium; (c) box score format – NCAA Tournament boxes went away from the all upper case last name, comma, first name and roster files submitted by schools were rendered worthless.
          A call will be planned for May to specifically address the CoSIDA/NACDA transition and relationship building with the 1-AAA ADA group..

On April 20, John Humenik and Barb Kowal forwarded along the latest monthly edition of “Communications Watch for Today’s AD” to Dutch Baughman, Executive Director of Division 1-A Athletic Directors Association. Since October of 2010 this e-newsletter, adapted from CoSIDA’s weekly “Communications Watch” for our membership, has been put together specifically for AD’s to stay abreast of topics regarding strategic communications, crisis planning and communications, trends, surveys so that today’s AD’s can better stay abreast of the many communications based issues and challenges facing collegiate athletics.

CoSIDA.com for the latest Capital One Academic All-District and Academic All-America® information. We remind everyone that you must be a member of CoSIDA to nominate your deserving student-athletes and we strongly encourage you to not wait until the last moment to do those nominations.

     NOTE: Deadlines for nominations will be strictly adhered to. There will be no extensions and no exceptions if the deadlines are missed. Please plan appropriately to make sure your information in place to meet the respective deadlines and that the people at your school who will be nominating student-athletes are paid members of CoSIDA for the 2011-12 year.

The Board and Academic All-America® Committee leadership remind CoSIDA members that CoSIDA's "Academic All-America®"mark is federally registered. As such, CoSIDA members must help the Board and AAA Committee monitor the wrongful use of this registered trademark. If you see any other organizations, including coaching associations, using this registered trademark, immediately contact CoSIDA Executive Director John Humenik (
jhumenik@bellsouth.net) or Academic All-America Committee member Dick Lipe (rlipe@bentley.edu). We will have our legal counsel, Collegiate Images, follow up with a letter regarding infringement of our federally registered mark and they will be asked to "cease and desist" from future use of that mark.

      Many times during the year we find that our own membership is using "Academic All-America®" in releases that they prepare for student-athletes receiving academic achievement awards from other organizations - when in fact those organizations refer to their awards as "All-Academic," "Scholar-Athlete," "Academic All-Star," etc. We remind CoSIDA members to be cognizant of only using "Academic All-America®" in relation to CoSIDA's Capital One partnership program. There are NO exceptions and you should make sure your administrative staff and coaches understand that they do not have the right to take another award that is being presented for combined academic/athletic excellence by coach’s associations or other organizations and change it to “Academic All-America®” instead of its appropriate title given by that awarding organization.


 

Current Contests and Scholarship/Grant Nominations

There is only one spring contest open (postseason media guides). Please direct questions to Grubbs at cgrubbs@hsutx.edu.

Nominations are open until FRIDAY, MAY 4 for the CoSIDA Fred Nuesch-Dave Wolhueter Undergraduate Scholarship program. 
Find nomination forms and details HERE. The other CoSIDA scholarship/grants for postgraduate scholarships and the graduate internship grant are reviewing candidates, as their deadlines were in April. Carol Hudson, Jr. (Old Dominion) is Chair of the Scholarship Committee and questions can be directed to him at chudson@odu.edu



Strategic Branding/Marketing & PR Matters

During the Board of Directors conference call on April 27, the Board discussed two branding proposals submitted by two companies interested in working with our organization on strategic branding matters and exploring CoSIDA's brand reputation within the athletic community and membership. The Board made a decision to seek more detailed contract information/timelines to help it make a final decision in the near future.

During the month of April, 35 CoSIDA-based stories appeared on NACDA’s Daily Review email blast. There were 21 Daily Review emails during the month. Through the Daily Review email, thousands of university and athletics administrators are exposed to professional and organizational news. This outreach primarily came about due to CoSIDA’s decision in December 2008 to become an affiliated partner within the NACDA  organizational umbrella.

Also in April, three CoSIDA-based features/stories were featured on NCAA.com websites and circulated a total of five times on the NCAA Daily News Direct email blast. 

In April, 44 articles were posted on
CoSIDA.com. The CoSIDA Twitter page had 375 tweets/postings, all of them of an informative nature with breaking news and timely topics for athletic communication professionals.

The CoSIDA LinkedIn group surpassed the 1,000-member mark in February and the group now has 1,203 members and is actively holding discussions, soliciting final convention panelists and sharing articles and videos of interest to athletic communicators.

Email marketing service provider Constant Contact recognized CoSIDA’s email marketing efforts with a “Constant Contact All Star Award” in late March – an award which recognizes the small business and nonprofit organizations that are finding great success with their marketing efforts. This award is given to the top 10 percent customers of Constant Contact’s 550,000+ customers.

CoSIDA’s email marketing program, developed by Executive Director John Humenik and Director of External Affairs Barb Kowal and managed and coordinated by Kowal since its inception, was singled out for consistently high open rates (greater than 25%), click-through rates and low bounce rates; making regular contact with CoSIDA’s audience; sending at least three surveys or publishing at least three events in the last year; using social media tools to share and promote content and events; and regularly viewing CoSIDA reports to review email marketing efforts. This indicates that this email communications tool used by the CoSIDA leadership is effective, for both dissemination of information and for the corporate sponsors who support CoSIDA’s email marketing initiatives. Thanks to the membership for being engaged and receptive to this CoSIDA communication tool and helping CoSIDA be a leader among non-profit organizations in its email efforts.


 

Research/Survey Based News

CoSIDA Survey results: The state of crisis communications in college athletics
Nearly 160 CoSIDA members responded to the survey, conducted in January/February. See the findings HERE. The data from this survey, written and coordinated by Chris Syme, Chair of the New Media/Technology Committee and committee members, suggests that many university athletic departments are inadequately prepared to deploy multiple communications channels, including social media, as needed in a crisis. Departments might consider reviewing the information here and implementing the five best practices listed at the end of the survey summary.


Clay Stoldt, Chair of the Sports Management Program at Wichita State and a former SID at that school, worked with Barb Kowal and John Humenik to complete his survey/study with our CoSIDA membership on the growing use of social media in college athletics. That survey concluded in mid-January after being circulated four times to the membership via email and four times via the weekly Communications Watch email. Thanks to the 500-plus CoSIDA members who participated in the survey. Stoldt is gathering and analyzing the information and plans to present his findings at the St. Louis convention and also will provide a summary of his research to CoSIDA’s membership.

Joe Moore, a former SID at Central Missouri who now teaches in that school’s Department of Communications, completed his dissertation on “Influence in the Collegiate Sports PR Community.” CoSIDA’s Board of Directors and its various leadership groups agreed to work with Moore on this project at the 2010 San Francisco Convention.

    The completed project, which included interviews with CoSIDA’s Board, divisional leadership groups and participation by nearly 300 CoSIDA members, was provided by John Humenik to the CoSIDA Board of Directors and the various divisional leadership presidents/chairs in December. Moore is preparing a survey on this topic which he will provide to athletic directors. An executive summary of the report will be produced by Moore/Humenik and provided to the CoSIDA membership in the future. Moore also plans to attend the St. Louis Convention and present his findings to the Board and to the membership.


Miscellaneous

On the April 27th Board of Directors conference call, the Board continued to discuss these proposals and made a decison to seek more detailed contract infotmation/timelines to help it make a final decision in the very near future.

John Humenik is working with the NFL Communications Department in New York (Corry Rush and Greg Aiello) to assist the NFL - as a part of the inventory for its $10,000 sponsorship for the upcoming convention and 2012-13 academic year - with publicizing the NFL’s PR-based internships for the 2012 season. Rush will work with the league’s individual teams and NFL office in New York to compile one document listing all pr/communications internships that the NFL will offer in 2012. That document will then be provided to Director of External Affairs Barb Kowal and will be sent via email to all of our members, posted online and on CoSIDA's social media channels. The NFL staff plans to provide this to CoSIDA during May so please look for this and pass it along to your students/interns/grad assistants who might have an interest in these NFL internships.
