No NCAA Web Services, Statistics Web Application Services From Feb. 13-16

To all CoSIDA members at NCAA schools and conferences: The following updated information has been sent to all SIDs concerning the Feb. 13-16 NCAA web applications outage as the NCAA IT staff upgrades to a new web system.

Please note the information provided below by the NCAA Media Coordination and Statistics staff, who outline the outage information below, and ask you to follow the instructions for waiting to submit XML stat files until the migration is complete.



Dear Athletic Communications/Sports Information Directors from NCAA institutions and conferences:
 
The NCAA IT staff will be migrating and upgrading all NCAA Web applications - including all statistical applications - to new servers this weekend (Feb. 13-16).  During the migration process, all NCAA Web applications will be offline for as many as three days. You may remember hearing about this in January, but the initial upgrade was delayed.
 
Beginning this Friday (Feb. 13), at 8 p.m. Eastern Time, all Web applications will be unavailable to the public, the membership and NCAA staff and may continue through the weekend. The outage could continue until the start of business Tuesday, Feb. 17.  However, we are hopeful the process will be completed by Monday even though our IT staff can’t give us that guarantee.
 
During the outage, SIDs will not be able to access any of the statistics login pages to upload XML files or enter rosters and/or schedules.  Additionally, we will not receive any files submitted through the auto-upload features of the website providers (i.e. PrestoSports or SIDEARM).  Furthermore, users will NOT be able to access updated statistics reports through http://stats.ncaa.org/rankings.  Stats WILL continue to be available on NCAA.com.  However, our staff will NOT be able to update those statistics after Friday, Feb. 13 (through games played Thursday, Feb. 12) until the outage ends.
 
If we receive word from our IT staff that the system is up and running before Monday, we will send notification that XML files can be submitted.
 
As soon as the applications are online again, we anticipate a large number of files will be submitted into our database which will cause delays in posting the statistics.  We ask that you be patient with the updated statistics on the first few days next week as they will likely be posted much later than usual. At some point, we will send missing XML file reminders. If you receive a reminder, please submit the xml file, even if it was previously submitted.
 
We have notified both PrestoSports and SIDEARM about the outage, but it is your responsibility to ensure statistics from your game(s) are submitted once the applications are online again.
 
Finally, if possible, please DO NOT email your XML files to us throughout the weekend.  If you know there is going to be a schedule conflict or some reason you cannot submit files on Monday we will take the emails, but our staff will not be able to upload more than a thousand game files that will be affected by this outage.
 
While we know this is not ideal and is very inconvenient for all of you, we ask for your patience throughout this period.  We will do everything we can to minimize the impact on all of you.

The NCAA.org pages will all be functional during the outage but many of the links on the statistics pages may direct the user to applications that are unavailable. Some data may be available on NCAA.com.
